Privacy Policy

1. Who We Are

Agent Elite is operated by Execution LLC ("we," "us," or "our"). If you have questions about this policy, contact us at support@agentelite.app.

2. What Agent Elite Does

Agent Elite is a field coaching and leadership development platform for insurance sales organizations. It allows agents to record sales conversations (Walk In, Phone Call, and Enrollment types), receive AI-powered coaching analysis and score breakdowns, store training content in the Vault, and manage team and organizational structures. Leaders use the platform to track agent performance and identify candidates for leadership advancement.

3. Information We Collect

• +Account data: Email address and password when you create an account.
• +Audio recordings: Sales conversations you choose to record within the app.
• +Transcriptions: Text transcripts generated from your recordings via AI processing.
• +GPS location: Your location at the time a field recording is started, used to tag the recording context.
• +Subscription and payment information: Billing details collected and processed by Stripe. We do not store your full card number.
• +Organization membership data: Your role, team assignments, invite code usage, and performance scores within your organization.

4. Google User Data

When a user connects a Google account to Chief Ace, Agent Elite accesses Google user data only to provide the Google features described in this policy. The connected Google account remains private to the connected owner within Agent Elite.

• +Gmail: Chief Ace reads up to 12 messages from the previous seven days and uses message subject, sender, date, short snippet, and unread status for briefing and conversation context. An owner approved email proposal can send an email through the connected Gmail account.
• +Calendar: Chief Ace reads the primary calendar time zone and upcoming events for the next seven days, including event summary, location, start time, and end time. An owner approved calendar proposal can create an event in the primary calendar.
• +Drive: Chief Ace searches connected Google Drive files by title, reads file metadata, and resolves Google file links and file IDs. An uploaded Office file can be copied into a native Google file for reading or editing. The original Office file remains unchanged.
• +Sheets, Docs, and Slides: Chief Ace can read connected Google Sheets, Docs, and Slides. Owner approved proposals can create and update Sheets, append or insert Docs text, and create or update Slides.

Google OAuth access and refresh tokens are stored in a Supabase database table restricted to Agent Elite service-role access. Browser and mobile clients receive connected account email and connection status, never the token values.

Google-derived content used in a Chief Ace request is sent to OpenAI to generate the requested response. This includes relevant Gmail and Calendar context and content returned from a connected Sheet, Doc, or Slides deck. OpenAI processing follows the AI data choices described in this policy. The current Agent Elite implementation sends this content for response generation and contains no model-training operation.

Agent Elite does not sell Google user data. Agent Elite does not use Google user data to train models. Google user data is shared with service providers only to provide the requested Google and Chief Ace features, in accordance with the Google API Services User Data Policy and its Limited Use requirements.

Agent Elite has no automatic Google-data expiration period in the current implementation. Disconnecting a Google account removes its stored OAuth tokens and cached Google file references. Google-derived content included in private Chief Ace conversation history or action records follows the retention of those records. Google retains sent messages, created events, and created or edited files under Google account settings and policies.

Disconnecting sends the stored Google refresh token to Google's OAuth revocation endpoint, removes the selected account's local tokens and cached file references, and leaves Gmail, Calendar, Drive, Sheets, Docs, and Slides content untouched. Disconnecting one connected Google account leaves other connected accounts unchanged. If Google does not confirm revocation, Agent Elite still removes the local credentials and tells the user to revoke Agent Elite from Google Account security settings.

Reconnecting afterwards creates a fresh local connection for the selected account. Account deletion removes stored Google account tokens and recent Google file references through the account deletion cascade. Account deletion does not remove records already created in the connected Google account.

5. How We Use Your Information

• +To transcribe your recordings and generate AI coaching scores and feedback.
• +To display your performance data to authorized leaders in your organization hierarchy.
• +To process subscription payments through Stripe.
• +To send account-related communications (confirmations, billing notices).

6. How We Store and Protect Your Data

Audio recordings are stored in Supabase Storage with authenticated access controls. Only you and authorized leaders within your organization can access your recordings.

All data is stored on infrastructure provided by Supabase, which uses industry-standard encryption at rest and in transit. Payment processing is handled entirely by Stripe. We do not store payment card data on our servers.

7. Third-Party AI Data Processors

To provide AI features, we share your data with OpenAI and Google/Gemini after you give explicit consent on the AI Data & Privacy screen. Your choice controls these transfers.

• +OpenAI (San Francisco, CA): We send audio recordings for transcription, transcripts for coaching analysis and scoring, chat messages for Ace conversations, and roleplay dialogue for AI prospect simulation and debrief generation. OpenAI does not use this data to train models.
• +Google/Gemini (Mountain View, CA): We send audio recordings for tonality, confidence, energy, and pacing analysis. Google does not use this data to train models.

Neither provider keeps personal data beyond what is needed to complete processing.

If you decline, recordings still save to your account. Transcription, analysis, scoring, Ace chat, and roleplay stay off. You can turn AI back on anytime from the Profile tab.

8. Who Can See Your Data

Agent Elite uses a strict organizational hierarchy. Your recordings, scores, and performance data are visible to users who hold a higher-authority role than you within your organization (for example, your supervising agent or agency director). Users outside your organization cannot see your data.

We do not sell your personal data to third parties. We may share data with service providers (Supabase, OpenAI, Google, Stripe) only as required to operate the platform.

9. Location Data

When you start a field recording, the app may collect your GPS coordinates to tag the recording location. This data is stored alongside your recording and is visible to you and your organizational leaders. Location data is collected only during active recording sessions and is not tracked in the background.

10. Your Rights and Choices

You may delete your account at any time from the Profile tab in the Agent Elite app. Account deletion permanently removes all of your data, including recordings, transcriptions, scores, and personal information, from our systems. This action cannot be undone.

You may also contact us at support@agentelite.app to request access to your data, corrections, or deletion if you are unable to use the in-app deletion feature.

11. Children's Privacy

Agent Elite is intended for users who are 18 years of age or older. We do not knowingly collect data from anyone under 18. If you believe a minor has created an account, contact us immediately and we will delete the account.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the effective date at the top of this page. Continued use of Agent Elite after changes are posted constitutes your acceptance of the revised policy.
